22-23 How To: reserve college vehicle

  1. Communicate and plan with group leadership the event

  2. Know the date and time needed for vehicle reservation

  3. Arrange a student driver–I strongly suggest each group know of two or three drivers among their group that can be relied on for this very important job.

    1. Driving a 12 person van requires an additional bit of effort, though all campus vehicle drivers must be approved by the college

    2. If your group does not have drivers lined up–reach out to the DC and CLIA as both  can help you to reserve student drivers

      1. arranging a driver from a different organization will require EXTRA time so plan far ahead!

  4. Fill out the campus’ Vehicle Reservation Form

    1. be prepared to answer:

      1. group name and account number

      2. where the group is going

      3. driver(s) names

      4. size of vehicle requested

      5. riders names given to Krista Jolin ASAP

  5. Await an email from Krista Jolin and the Facilities team–they will notify you of approval, etc.

 


NOTES:

  1. Make sure the vehicle’s gas tank is half full and the vehicle is clean of all trash and clutter to avoid added fees

  2. There is a facilities PCARD in every vehicle to pay for gas as needed

  3. Save all receipts for tolls and parking fees if using a DC pcard

  4. Everybody in the vehicle is absolutely precious to somebody so make sure everyone always drives VERY safely!
