22-23 HOW TO: buy online

PLAN event w/ group leadership at least a week in advance

  • BE READY TO ANSWER THE “5-Ws”

    • WHO-are you buying for

    • WHEN– time and date is stuff needed

    • WHERE– will it be delivered? –all pcard purchases are delivered to DC center (33 Stetson Court, Williamstown MA 01267)

    • WHAT– exactly is to be purchased and about how much it’ll cost/what your budget is.  

    • WHY: is this purchase helpful for your group and its community engagement/education/service goals, objectives or visions

  1. Discuss with your advisor, give them the 5ws, and await their input

  2. Treasures need to fill out DC FUNDING FORM

  3. Await a response from DC Director or Program Coordinator

  4. work with DC program coordinator to set up spreadsheet found inside group’s ONE-STOP file and include:        

  5. URLs of exactly what you want to be purchased

    1. QUANTITY

    2. PRESCIENT details like specific sizes or color

A CHAIR/TREASURER/DESIGNATED PURCHASER MUST DO ONLINE PURCHASES AT BASCOM HOUSE OR PARESKY MINCO ROOM or with SPECIAL SCHEDULED ARRANGEMENTS with a member of DC team (likely NatMB)–USE MEETING SCHEDULING CALENDAR TO MAKE APPOINTMENT

  1. SPECIAL NOTES:

    • PCARDS will not be given out for online orders–all online orders are done IN PERSON or on occasion a DC team member will help

  • DC can purchase from MOST vendors as long as they take credit cards, paypal, or do formal invoice payments.

  • IF AMAZON–create a “wish list” and then share it to NRM4

  • EMAIL NRM4, your advisor, treasurer & BA3/DCW2 the invoice/receipt (forward it to them)

  • ADD EXPENSES/DEBITS TO GROUPS ONE-STOP FILE
